Making a Formal Letter Template

Whether you are a student, a fresh graduate, an employee or a businessman, there will come a time when you will need to write a formal letter. It is therefore advisable to keep a formal letter template somewhere in your computer. While Microsoft can provide you with one, the templates provided automatically in your computer are blank. You have to put in the data from beginning

to end, so although it helps you by telling you where everything goes, it isn't really very helpful when you are pressed for time.

The best thing to do is have a template with everything partly written down, almost like a form letter. You can write it yourself or ask for professional help, but the idea is that certain words should already be provided so you can just expound on the paragraph when the time comes for you to write the letter.

For instance, you can prepare the salutation ahead of time because it is more or less standardized.

You can also put down a paragraph starting with the words, "I am <name>, of <institution>, in <address>" because those things will hardly ever change. And although the reason for writing the letter will always change, the words "I am writing to you because" will not, so you can put that down as well. If you want, you can add your company name and address inside the footer to give it a formal look.

If you have the draft of a generic formal letter formatted and stored away, you just have to take it out, fill out the blank spaces and send it without too much ado. So instead of relying on your computer to give you're a blank formal letter template, make one and store it away. It could come in handy when you have to write a formal letter quickly and you are too upset to think straight.
