belongs
to, or the recipient him/herself. When the recipient is mentioned
twice in the business letter, it denotes urgency, which means
that immediate action or response to the letter is necessary.
This is very rarely done, though.
The
subject or reference line is more than just a documentation rule.
Companies run a multitude of operations simultaneously, and by
including a subject or reference line, you save the recipient
time. S/he no longer has to dig through the middle of your business
letter to know what it's about.
On-arrival
notes are extremely necessary if you need to impose confidentiality.
Sometimes, when a third party receives the document, s/he reads
it too. While this is considered unethical, some employees will
go on and read the document unless you specify that it's for the
eyes of the intended recipient only.
Finally,
the identification initial indicates the original author of the
business letter. Sometimes, assistants write formal letters for
their superiors, and they're rendered responsible for what they've
written in behalf of their bosses. These add-ons will certainly
make communications within your company flow smoothly.
